Short answer: Shortlist Ashby, Greenhouse and Lever for a company with 250 to 1,000 employees, adding Workable or SmartRecruiters according to your hiring profile. Most mid-size ATS plans are quote-only, and the published prices used in many comparisons belong to small businesses. Ashby explicitly puts 101 to 1,000 employees on its quoted Plus plan, while JazzHR excludes companies over 250 employees from list pricing. Compare proposals for your headcount and screening volume before declaring a winner.

What is the best ATS for a mid-sized company?

The best ATS is the one whose quoted package fits your hiring workflow and application volume. Start with Ashby for its explicit mid-size plan, Greenhouse for banded Talent Matching, and Lever for Core AI-powered screening. Add SmartRecruiters for high volume evaluation or Workable if credit-based screening suits your budget.

This is a shortlist, not a universal ranking. A head of talent buying for professional hiring may prioritize a different workflow from an HR director filling hourly roles. Ask vendors to demonstrate your requisition, recruiter handoff and candidate review process, then compare the package that completes those tasks.

Teamtailor wins on a clear unlimited-users-and-jobs proposition if manager access matters. BambooHR deserves consideration if its per-employee offer fits your broader buying decision and separate screening is acceptable. Keep Pinpoint, iCIMS and Jobvite in contention when their demos meet requirements better than the shortlist. Quote-only pricing alone does not establish value or suitability.

Why small business ATS prices disappear at this size

JazzHR lists Hero at $1,000, Plus at $3,480 and Pro at $5,508 per year, with AI candidate matching from Plus. The pricing checked October 23, 2026 excludes companies over 250 employees, agencies, franchises and multi-location businesses. Those annual totals cannot anchor a budget for an excluded company.

Workable's October 25, 2026 pricing shows Standard at $299 a month ($3,588 a year), Premier at $599 and Enterprise at $719 for 1 to 20 employees. Its selector includes 21 to 50, 51 to 100, 101 to 200, 201 to 400, 401 to 600, 601 to 800, 801 to 1000 and 1000+. Prices change with the band. None of those small-company rates establishes your mid-size cost.

Ashby's pricing checked October 25, 2026 makes the boundary explicit. Foundations has published monthly pricing by size up to 100 employees. All-In-One Plus is labeled “Best for 101 to 1000 employees” and says Get in Touch, with pricing based on company size and usage. Enterprise is for 1,000+. Mid market ATS pricing needs a proposal, not an extrapolation from Foundations.

How much does an ATS cost for a company with 500 employees?

There is no defensible universal ATS price for 500 employees from these published pages. BambooHR Core provides list price arithmetic of 500 employees multiplied by $10, or $5,000 a month. Ashby, Greenhouse and Lever require quotes, while Workable requires the applicable employee band rather than its small-company headline rate.

BambooHR Pro lists $17 and Elite $25 per employee per month. The Core calculation is list price arithmetic, not a negotiated offer or a claim about implementation costs. It also buys no native AI resume screening. Compare the scope of the purchase before treating this as an ATS-only benchmark. See BambooHR pricing.

SmartRecruiters Essential starts at $14,995 a year, but AI candidate screening begins in High Volume. Get that edition priced if screening is the requirement. Jobvite's Vendr buyer data reports a $14,128 annual median and a $11,724 to $66,735 range. These are buyer contracts, not a vendor rate or a 500-employee estimate. See SmartRecruiters pricing and Jobvite pricing.

Request separate lines for subscription, screening usage, implementation and required extras. Ashby lists SSO at $100 a month and extra candidate texting at $90 per 1,000 messages. For iCIMS, a pricing URL returning a 404 supplies no budget evidence. The iCIMS pricing guide helps frame the quote request.

Is Greenhouse or Lever better for mid-size companies?

Greenhouse is the better candidate if your team prefers Talent Matching's applicant bands; Lever deserves priority if you want AI-powered screening in the Core Platform proposal. Neither publishes rates. The deciding evidence is a demonstration on your applications and a written quote identifying the screening product and any separate charges.

Greenhouse offers Core, Plus and Pro, but no public rate card settles their relative cost. Ask which proposed package includes the matching workflow shown in the demo. The Greenhouse pricing guide supports that discussion.

Lever has one Core Platform with AI-powered screening, while AI Screening by VONQ is a separate add-on. Ask the seller to name each product explicitly. A demo of an add-on should not become an assumption about Core. Use Lever pricing to prepare the scope comparison.

When should a mid-size company outgrow JazzHR or Workable?

Reassess JazzHR when you exceed its published pricing eligibility, and reassess Workable when the correct employee band plus screening credits stops fitting your requirements or budget. Neither event automatically requires migration. Ask for the actual renewal proposal, test the workflow gaps and compare keeping the system with replacing it.

JazzHR's over-250 exclusion concerns standard pricing, not proof that the product stops working. Workable still offers larger employee bands. Its published Workable Agent packs cost $600 for 5,000 credits, $1,000 for 10,000 and $4,750 for 50,000. Every paid account starts with 3,000 free AI credits. Ask how your workflow consumes credits before forecasting a recurring screening bill.

Choose by hiring profile

High volume hourly hiring

Evaluate SmartRecruiters High Volume first when AI candidate screening is central to the purchase. Compare it with Workable's credit model using the same workload. Demonstrate how eligibility criteria reach the recruiter and how exceptions get reviewed. A plan name alone does not establish throughput or screening quality.

Professional hiring

Compare Greenhouse, Lever and Ashby against your interview process and approval requirements. Teamtailor is useful to evaluate when unlimited users and jobs matter more than a numeric screening score. Its criterion checks may be sufficient for your reviewers. See Teamtailor pricing and Pinpoint pricing for additional quote comparisons.

Technical hiring

Put the shortlist through a role with specific technical requirements. Ask reviewers to inspect the evidence behind each recommendation, including adjacent experience and missing information. Choose the system whose output they can assess consistently. An applicant band or ranking should support the hiring team's judgment, not substitute for technical evaluation.

Add a screening layer before upgrading the ATS tier

If applicant tracking already works and resume review is the bottleneck, compare a separate screening layer with the quoted upgrade. Prescreener is resume screening software, not an ATS. It works beside the ATS, reads and ranks every inbound resume with written evidence per criterion, keeps a human in the loop and never auto-rejects.

Plans cost $199, $499, $1,290 or $2,490 a month by applicant volume, or half that billed yearly. Starter is about $99 a month billed yearly for 1,000 resumes ranked monthly. Compare bulk applicant screening with the screening allowance in your proposal, using the ATS pricing comparison to separate tracking costs from review costs.

Demo questions to get answered in writing

  1. Which package applies to our employee count and business structure?
  2. Which screening product was demonstrated, and is it included in this quote?
  3. What counts as billable usage, and what happens when the allowance runs out?
  4. Can reviewers inspect evidence against our criteria and override the recommendation?
  5. Which charges cover SSO, texting, implementation and data export?
  6. How do headcount changes affect the price during the contract and at renewal?
  7. What are the renewal notice deadline and any agreed price uplift?

For multi-year mid-market contracts, record renewal terms, notice deadlines and price uplift provisions before signing. Assign an owner and keep the signed terms accessible. If procurement manages several agreements, consider contract management software that tracks renewal dates and price uplifts. A first-year discount is useful only alongside a clear understanding of later obligations.

Keep the ATS decision tied to your workflow. If the missing capability is evidence-based resume ranking, compare Prescreener pricing with the proposed screening upgrade before committing to a larger platform package.
